# Direct mail

> Add a letter to selected motions, use saved business addresses, and approve each prospect’s PDF/JPEG or personalized letter.

Direct mail is an optional step in a prospect’s cadence. Choose which motions include it, then prepare and send each letter from that prospect’s row in **Cadences**. The dashboard supports U.S. letters.

## Choose the motions and timing

In **Plays → Direct mail**, choose **Automatic**, **Always include**, or **Off**, and edit the position and delay. Automatic uses these starting rules:

Automatic selection excludes addresses whose source identifies a registered agent, registered office, or residential address. These are explainable rules, not conversion or account-value predictions. Complete address fields do not prove that someone works there; review the recipient before sending.

**Always include** adds a mail step even when automatic selection would not. **Off** is a persistent founder override. Existing explicit opt-ins remain enabled. Research can add mail to an eligible active cadence when its insertion point is still ahead. Completed touches and existing prepared or submitted mailpieces retain their plans.

## Save the addresses

Save the founder’s return address once in **Setup → Founder → Direct mail return address**. It is reused within that workspace.

Prospect business addresses come from manual prospect input, CSV and registry data, or company research for motions that include mail. Research looks for a complete U.S. business address on company pages and retains its source. It may not find one.

When the mail step arrives, the saved recipient and return addresses are filled automatically. Review them and correct them if needed. If an address is missing, use **Add address** or the business-address lookup in the mail panel. The step stays pending until you supply the address or explicitly skip mail.

## Prepare a letter for one prospect

Open **Cadences → Review mail** on the prospect’s row and choose the content:

* **Personalized letter:** generate a letter from the prospect’s research and your founder/product context, then edit the text.
* **PDF/JPEG upload:** upload artwork for this prospect. PDFs retain their pages; JPEGs are fitted onto a letter-sized PDF without cropping. Uploads must be at most 20 MB. Locked or invalid PDFs are rejected.

Each prospect has a separate preparation. An upload does not become shared artwork for every prospect in the motion.

## Review the proof and send

Create the preview, wait for the print proof, then review the addresses, content and quoted price. Use **Approve and send** for that prospect.

Changing the content or saved addresses requires a fresh proof. Expired quotes must be refreshed through a new preview before sending. Batch sends and scheduled cadence advances do not submit mail: every mailpiece needs its own approval and send action.

An accepted postal order advances the cadence once. The next follow-up allows at least eight business days for printing and transit, plus two calendar days to read; longer configured delays are preserved. This is an estimate, not a delivery guarantee. Skipping mail uses the normal next-touch delay. A pending submission stays on the mail step until its result is known. If you decide against sending, explicitly skip the step to continue the cadence.

## Follow the order

Mail history shows postal status and offers refresh, recovery and cancellation. If submission times out, recover the existing order before preparing another mailpiece. Cancellation depends on the order’s current state; postal delivery does not establish that the recipient read the letter.
